Rent it, lease it, or finance it.
They are not the same thing, and the right one depends on whether you want the machine at the end and how you would rather treat it in the books. We will say plainly which one suits.
Rental
One monthly figure covers the machine, the servicing and the toner. The machine stays ours, so replacing or resizing it partway through is a conversation rather than a refinance. It suits an office that wants the printing handled and nothing on the balance sheet.
- Machine and service in one figure
- Swap or resize during the term
- Nothing to sell at the end
Lease
A finance company owns the machine for a fixed term and you pay a fixed amount. Payments are usually deductible as an operating expense, and at the end you return it, renew it or make an offer for it. The servicing sits alongside it on a DSA agreement.
- Fixed term and payment
- Usually an operating expense
- Return, renew or buy at the end
Commercial hire purchase
You are buying the machine over time and it is yours once the last payment is made. It suits a business that wants the asset and the depreciation and expects to keep the machine well past the term. Long life Kyocera and Toshiba machines usually do.
- The machine is yours at the end
- The asset sits on your books
- Suits a machine you will keep
Which one is right is an accounting question as much as a printing one, so it is worth asking your accountant. We will give you the numbers either way and we will not push you at the one that pays us best.
Sized first, financed second.
Most bad copier deals start with a monthly figure and work backwards. We start with what you print.
What you get
- A new or refurbished Toshiba, Kyocera or HP machine sized to your volume
- Delivery, installation, network setup and scanning to email and folders
- Servicing included for the life of the agreement
- Toner included and ordered through the customer portal, not bought each time
- Meter readings collected each month, so you are billed on what you actually printed
- One number for the machine, the service and the supplies
Choosing the right machine
If you want the machine gone at the end, rent it. If you want a fixed cost and a clean exit, lease it. If you want to own it, use commercial hire purchase. Whichever you choose, the machine should be sized to your pages first, because a machine that is too small costs more in call outs and toner than the right one ever costs in payments.
Pages a month
The single biggest factor. It decides the speed and duty the machine needs, and what it costs to run.
How much colour
Colour pages cost more to produce, so the mix changes which machine and which service agreement suit.
A3 or A4
A3 machines handle larger pages and higher volumes; a compact A4 suits smaller offices and lighter use.
Scanning and finishing
Scan to email and folders, stapling and booklets. We set up what you need and leave out what you do not, and we can go further and make the scanning file itself.

Common questions
Can I rent a photocopier rather than buy one?
Yes. A rental puts the machine, the servicing and the toner into one monthly figure, and the machine stays ours, so it can be swapped or resized during the term rather than refinanced.
What is the difference between renting and leasing a copier?
With a rental the machine stays with us and everything is in one figure. With a lease a finance company owns it for a fixed term, you pay a fixed amount, and at the end you return it, renew it or make an offer for it. The servicing sits alongside the lease on a DSA agreement.
What is commercial hire purchase on a photocopier?
It is buying the machine over time. You make the payments over a fixed term and the machine is yours at the end, so the asset and the depreciation are yours from the start. It suits a machine you expect to keep well past the term.
Is toner included in a copier rental?
On a DSA agreement, yes. Toner is ordered through the customer portal or by scanning the sticker on the machine and comes at no extra charge, and you are billed monthly from your meter readings.
Who services a rented or leased machine?
We do. A rented or leased machine goes on our books like any other, and every visit is logged against it, with nothing extra done until it is quoted to you.
Can I rent a refurbished copier rather than a new one?
Yes. Refurbished and renewed machines are checked and serviced before they leave our workshop and can be rented, leased or financed the same way a new machine can.
What happens at the end of the term?
On a rental the machine goes back or gets replaced with a newer one. On a lease you return it, renew it or make an offer for it. On commercial hire purchase it is already yours.
Can we change machines if the business grows?
On a rental that is straightforward, because the machine is ours. On a lease or a hire purchase it depends on the finance agreement, which is one of the reasons to think about the end of the term at the start.
