What we collect
When you use a form on this site, call us or email us, we collect the details you give us: your name, the business you work for, your phone number, email address, delivery or site address, and details about your machine, such as its make, model, serial or machine number, the fault, and its meter readings. If you order from the shop we also collect the delivery address and what you ordered.
We do not ask this website for anything we do not need. There is no account to create, and you do not have to tell us anything to read the site.
Why we collect it
- To book and carry out service work and deliveries
- To send toner, parts and machines to the right address
- To bill for contract servicing from your meter readings
- To prepare quotes and orders you ask for
- To keep a service history against your machine, so a later job does not start from nothing
Card payments
Card payments are taken by our payment provider on its own secure page. Card numbers are never entered on this website, are not emailed, and are not stored in our job system. If you pay on account, no card details are involved at all.
Who we share it with
Only with the people and systems that need it to do the job: the technician attending your machine, the supplier sending your toner, parts or machine, our payment provider when you pay by card, and the job, accounting and email systems we run the business on. Some of those systems are operated by companies outside Australia. We do not sell your information and we do not give it to anyone for their own marketing.
What this website stores in your browser
The shop keeps your cart, any printers you save, and whether you asked to see prices without GST, in your own browser. That information stays on your device, is not sent to us until you place an order, and you can clear it at any time by clearing your browser data. We use website analytics to see which pages are read and which searches bring people here, which does not identify you personally.
How long we keep it
Job, machine and invoice records are kept for as long as we look after the machine, and after that for as long as the tax and business records laws require. Enquiries that do not turn into work are kept for a reasonable period and then removed.
Keeping it safe
Access to customer records is limited to the people who need it. The forms on this site are sent over an encrypted connection, and payment details are handled only by our payment provider.
Seeing, correcting or deleting your details
Ask us at any time to see, correct or delete the information we hold about you, and we will do it unless we are required to keep it. Email info@documentservices.com.au or call 1300 922 260. If you are not happy with how we have handled your information, tell us first and we will try to put it right; you can also take a complaint to the Office of the Australian Information Commissioner.
Changes to this page
We update this page when the way we handle information changes. The version on this page is the one that applies.
