A printer in the office, without buying it.
Printer rental and printer leasing are often searched as if they were the same thing. They are not, and the difference shows at the end of the term. Here is what each one means with us, said plainly.
Printer rental
The printer, the servicing and the toner in one monthly figure. The printer stays ours, so moving to a bigger or smaller machine partway through is a conversation rather than a refinance. At the end it goes back, or it is replaced with a newer one.
Side by side →Printer lease
A finance company owns the printer for a fixed term and you pay a fixed amount. At the end you return it, renew it or make an offer for it. The servicing and toner sit alongside on a DSA service agreement.
Photocopier leasing in Brisbane →Commercial hire purchase
Buying the printer over time. It is yours once the last payment is made, which suits a machine you expect to keep well past the term and want on your books as an asset.
Rental, lease and finance →Buying instead
If the printer is small, or you would rather own it from the start, buying it outright is often the better answer, and we will say so. New and refurbished office printers are on our Brisbane office printers page.
Office printers in Brisbane →Tell us roughly what the office prints each month and how much of it is colour, and we will come back with the printer that suits and what it looks like rented, leased and bought outright.
Your pages first, the paperwork second.
Most bad printer deals start with a monthly figure and work backwards. We start with what the office prints.
What a Brisbane printer rental includes
- A new or refurbished A3 or A4 multifunction printer, sized to your pages
- Delivery and installation across greater Brisbane
- Network setup, print drivers, and scanning to email and folders
- Servicing and repairs for the life of the agreement
- Toner included, ordered through the customer portal, with freight charged on each delivery
- Meter readings collected each month, so you are billed on what you actually print
- One service desk and one number for all of it
What decides the monthly figure
We do not publish a rental price, because a printer rental priced before anyone knows the office is a guess. These are the things that set it.
- Pages a month. The biggest single factor. It decides the speed and duty of the printer and how much toner the agreement carries.
- The colour share. Colour pages cost more to produce than black and white, so the mix changes both the printer and the agreement.
- A3 or A4. An A3 multifunction costs more than a compact A4, and earns its place when someone needs A3 or the volume calls for the bigger machine.
- New or refurbished. A refurbished A3 machine that has been through our workshop can cost less each month than a new one.
- Finishing and extras. Stapling, booklets, extra paper trays and card release all add to the machine.
- The length of the agreement. A longer agreement lowers the monthly figure and lengthens the commitment.
Two quotes for what looks like the same printer can be a long way apart because one includes toner, servicing and a realistic page allowance and the other does not. Whoever you ask, find out what the monthly figure includes, what a page costs beyond it, and what happens at the end of the term.
Renting, leasing or buying a printer, side by side
| Rental | Lease | Buying outright | |
|---|---|---|---|
| What the monthly figure covers | The printer, servicing and toner together | The printer; servicing and toner on a separate DSA agreement | Nothing monthly for the printer; servicing and toner on an agreement if you choose one |
| Yours at the end? | No. It goes back, or is replaced with a newer one | Only if you make an offer for it and it is accepted | Yes, from the day it arrives |
| Changing printers partway through | A conversation with us | Depends on the finance agreement | Up to you |
| Usually treated as | A business expense | A business expense | An asset you depreciate |
| Suits | An office that wants printing handled in one figure, with room to change | A business that wants a fixed cost and a clean exit | A printer you will keep for years, or a small one |
Which suits the books is a question for your accountant as much as for us. Commercial hire purchase, buying the printer over time, is explained on our rental, lease and finance page.
Office printers we rent and lease in Brisbane
Most of what we rent and lease are A3 and A4 multifunction printers: print, copy and scan in one machine, the same thing many people still call a photocopier. Toshiba, Kyocera and HP are the three ranges we quote from most, with every current model, its speed and a printable spec sheet on the site, and we supply the other leading brands to order. If the office is standardised on one brand, we can keep it that way.
Renting a refurbished printer
A refurbished A3 machine that has come off a contract and been through our workshop can be rented or leased the same way as a new one, and often makes the monthly figure easier to live with. Each one is checked and serviced before it leaves us, and the quote says plainly that it is refurbished. What is in stock changes every week; see photocopiers for sale in Brisbane for new and refurbished side by side.
Printer hire or printer rental?
The two words get used for the same thing, but they are not. Hire is short term: a printer or photocopier for a project, an event, a temporary site office or a busy season, then it goes back. Rental is for a printer that is staying, on an agreement, with the servicing and toner inside the monthly figure. If you need a printer in Brisbane for a short time, ask us about short term hire. If it is staying, a rental or a lease usually costs less each month, and we will show you both.
When renting is the wrong answer
Renting suits a busy office printer. It rarely suits a small desktop printer that prints a few pages a day: buying that outright usually costs less over its life, and we would rather tell you so than rent it to you. If your volume is low, ask about buying a small A4 printer and putting it on a service agreement instead, or see office printers in Brisbane.
Already renting or leasing a printer?
If a printer in your office is on a rental or a lease with another company, we can still service it, and if servicing is already included in what you pay, we will tell you so you do not pay twice. If the agreement is coming to an end, read its end of term clause before you sign anything new: some agreements roll on, or renew, unless notice is given. Call 1300 922 260 or send it with a quote request and we will tell you plainly what it says and what a replacement would look like.

Common questions
Can I rent a printer for my Brisbane office?
Yes. We rent A3 and A4 multifunction printers to Brisbane offices, new or refurbished, with the printer, the servicing and the toner in one monthly figure. Freight is charged on each toner delivery.
What is the difference between renting and leasing a printer?
With a rental the printer stays ours and everything is in one monthly figure. With a lease a finance company owns the printer for a fixed term, you pay a fixed amount, and the servicing and toner sit alongside it on a DSA agreement.
How much does it cost to rent a printer in Brisbane?
It depends on your pages a month, how much of it is colour, A3 or A4, new or refurbished, and the length of the agreement. Tell us those and we will show you the same printer rented, leased and bought outright, so you can compare like with like.
Is toner included in a printer rental?
Yes. Toner is included on the agreement and ordered through the customer portal or by scanning the sticker on the printer, with freight charged on each delivery.
Who services a rented printer?
We do. The printer goes on our books like any other machine, every visit is logged against it, and nothing extra is done until it has been quoted to you.
What happens at the end of a printer rental?
The printer goes back, or it is replaced with a newer one. If you would like to keep it, ask us before the term ends.
Can we change printers if the office grows or shrinks?
On a rental, yes. Because the printer is ours, moving to a bigger or smaller one is a conversation rather than a refinance. On a lease it depends on the finance agreement.
Can I rent or lease a refurbished printer?
Yes. Refurbished A3 machines are checked and serviced in our workshop before they leave us, and can be rented, leased or bought the same way as a new one.
Can I hire a printer for a short time in Brisbane?
Yes, ask us. Short term hire suits a project, an event, a temporary site office or a busy season. For a printer that is staying, a rental or a lease usually costs less each month, and we will show you both.
Are printer rental payments tax deductible?
Rental and lease payments are usually treated as a business expense, but it depends on your business, so ask your accountant. We will give you the figures for each option to take to them.
Do you rent and lease printers outside Brisbane?
Yes. Rental and lease work the same way on the Gold Coast, the Sunshine Coast and in the other regions we cover, with the printer delivered, installed and serviced there. See rental, lease and finance.
